IntakeBay and your shop management system: an intake layer, not a replacement

Updated October 24, 2026

IntakeBay is not shop management software and does not replace CCC ONE, Mitchell, Tekmetric or Shopmonkey. It handles the front counter: customers check themselves in, send damage photos with estimate requests and sign the repair authorization at drop-off or tow-in, and the shop gets status texts and a live inbox. It has no integrations, so staff copy details into their management system by hand or from a CSV export.

If your shop already runs a management or estimating system, the obvious question about any check-in tool is whether it replaces that system, duplicates it or sits beside it. For IntakeBay the answer is the third: it covers the moment a customer arrives or reaches out, and stops there. This page explains what each kind of software does, where they overlap, and when you are better off without IntakeBay.

What body shop management software does

A shop management system (SMS) runs the repair itself. Collision-focused systems such as CCC ONE and Mitchell RepairCenter are built around the estimate and the insurance claim; general repair systems such as Tekmetric and Shopmonkey are built around the repair order. Depending on the product and the modules you buy, an SMS handles:

  • Estimating: writing the estimate and supplements, often with OEM repair procedures. Mitchell Cloud Estimating, for example, offers integrated OEM repair procedures as you build the estimate.
  • Parts: ordering and tracking parts. Mitchell says RepairCenter integrates OEConnection parts management modules, and Shopmonkey lists parts lookup and ordering on every plan.
  • Production: where each car is in the shop, by department or stage.
  • Accounting: receivables, payables and payments. Mitchell lists QuickBooks, QuickBooks Online and BusinessWorks integrations for RepairCenter; Shopmonkey lists a QuickBooks Online integration on its higher plans.
  • Dealer and insurer links: Mitchell describes a bi-directional integration with dealer management systems for RepairCenter.
  • Customer communication: many systems now include texting, status updates and digital authorizations (more on that overlap below).

What IntakeBay does: the front counter

IntakeBay is digital customer check-in for auto body and collision shops. Customers check themselves in on a tablet at your counter, on their own phone (QR sign or a texted link, no app) or from your website and Google profile. There are three flows: estimate request, vehicle drop-off and tow-in, where the owner signs from wherever they are. It collects:

  • Contact details, vehicle (year, make, model, color, plate, VIN, odometer), insurance company, claim number and adjuster, and how they will pay.
  • On estimate requests: what happened, plus damage photos from the phone camera.
  • A signed repair authorization: initials on the clauses you mark, a finger signature and a typed name, tied to a numbered, SHA-256 fingerprinted version of your agreement, with a signed PDF that records the time, IP address and device. Starter templates exist for all 50 states and DC; have your attorney review yours.
  • Optional add-on services at drop-off, at your prices.
  • Opt-in for text updates, with replies landing on the check-in.

What it does not do matters as much: no estimating, no parts, no scheduling, no accounting, and no integration with CCC, Mitchell or any other management system. Pricing is $200 a month per company (a limited-time price; regularly $250), covering every location and user. See the features and pricing for the full list.

Where IntakeBay and shop management systems overlap

Several management systems already include pieces of intake. Here is what each vendor's own public pages showed on October 24, 2026. "Not found" means we couldn't find it on their public site, not that the product lacks it.

The overlap is real. CCC's 2022 setup guide says CCC ONE Lobby "streamlines the check-in process for collision repair facilities by eliminating the need to rekey" customer and vehicle information, and syncs it with CCC ONE Estimating. IntakeBay cannot do that, because it has no integration. If your SMS already does intake well, a second tool adds cost and a second place to look.

When you don't need IntakeBay

Be honest with yourself about these cases. You probably don't need a separate intake tool if:

  • You run CCC ONE with Engage and already use Lobby check-in (described in CCC's 2022 setup guide), Engage estimate requests and CCC ONE Touch signatures. You would be duplicating what flows straight into your estimates.
  • You run Shopmonkey or Tekmetric and already send digital authorizations and texts from it, and your customers mostly walk in during business hours.
  • Your staff fill in the SMS at the counter while the customer waits, and that works for you.
  • You need estimating, parts or accounting. IntakeBay has none of them; pick a management system first.
  • You need check-in data to flow into your SMS automatically. IntakeBay has no integration, so someone still copies the details over.

When IntakeBay fits beside your system

IntakeBay is aimed at the gaps around a management system rather than the system itself. It tends to fit when:

  • Your SMS is built for estimating and production, and customer intake is still a clipboard.
  • You take tow-ins and need the owner to sign the authorization from their phone before you start. See tow-in intake.
  • You want customers to start before they arrive, from a button on your website or a link on your Google profile.
  • You want a state-based starter authorization with initials on specific clauses and a record of exactly which version each customer signed.
  • Many of your customers prefer Spanish on the check-in screens.
  • You run several locations and want one flat price rather than per-location plans.

How IntakeBay and your SMS work side by side today

There is no integration with CCC ONE, Mitchell, Tekmetric, Shopmonkey or any other system. In practice, shops use one of two routines:

  1. Copy from the check-in. When a check-in lands in the IntakeBay inbox, your estimator or service writer opens it and types the customer, vehicle and insurance details into the SMS when they open the job. Photos (estimate requests) and the signed PDF (drop-offs and tow-ins) stay in IntakeBay and can be opened from any signed-in computer or phone.
  2. Work from the CSV. Export check-ins to a spreadsheet and copy from there. The export includes reference, type, status, submitted date, location, source, name, phone, email, address, year, make, model, color, plate, VIN, payment, how they heard about you, insurance company, claim number, adjuster and adjuster phone, damage description, photo count, text opt-in, who signed and when, agreement version, add-ons and add-on total, and notes.

Either way, the customer typed it, so you are copying clean text rather than reading handwriting, but it is still copying. Decide who does it and when, so a check-in never sits in the inbox while the job is opened from scratch in the SMS.

Avoid sending customers two sets of texts

If your SMS already texts repair updates, choose one system for status texts. In IntakeBay, status texts when you change a check-in's status are off unless you turn them on. Customers who opt in at check-in still get a confirmation text, and replies to it land on the check-in. If your SMS handles updates, leave IntakeBay's status texts off and use it for check-in and the signed authorization only. Our guide on cutting "is my car ready?" calls covers what those texts should say.

Is IntakeBay a CCC ONE alternative?

No. CCC ONE and Mitchell are estimating and repair management platforms tied into insurer workflows. IntakeBay doesn't write estimates or connect to insurers. If you are shopping for a CCC ONE alternative, compare it with other management systems; the honest roundup of check-in software lists several, with their public prices. IntakeBay is something you might add beside whichever one you choose.

Questions

Does IntakeBay integrate with CCC ONE or Mitchell?

No. IntakeBay has no integration with CCC ONE, Mitchell or any other shop management system. Staff copy details from the check-in or from a CSV export.

Does IntakeBay write estimates?

No. It collects the estimate request, including damage photos, contact, vehicle and insurance details. Your estimator writes the estimate in your estimating system.

Can I export check-ins to a spreadsheet?

Yes. The inbox exports check-ins to CSV, including contact, vehicle, VIN, insurance, claim number, adjuster, who signed and when, and the agreement version.

Will customers get texts from both systems?

Only if you turn on status texts in both. IntakeBay status texts are off until you enable them, so a shop whose management system already sends updates can leave them off.

Does IntakeBay replace my shop management system?

No. It has no estimating, parts, scheduling or accounting. It is the check-in and authorization step that comes before the work your management system tracks.
